Job Description:
We are seeking a highly organized and detail-oriented individual to join our organization as an Engineering Center Chief of Staff. The Chief of Staff will play a crucial role in supporting the planning, implementation, and evaluation of various tasks and initiatives. This position requires exceptional coordination, communication, and administrative skills to ensure the successful execution of programs. The Chief of Staff will collaborate with various stakeholders, manage timelines, track task progress, and provide administrative support to ensure program objectives are met.
Responsibilities:
- Work with our facility Lead Engineer in managing various administrative responsibilities, streamlining workflows, coordinating schedules, and ensuring efficient operations to enable the manager to focus on strategic decision-making, technical work/management, and higher-level tasks.
- Assigning/verifying project charging guidance to subject matter experts (SMEs) and approving timecards on a weekly basis.
- Coordinating SME meeting support and travel with program office and subcontractor; correction and approval of expense reports for travel.
- Communicating corporate policy directives and verifying that required training and performance evaluation tasks are performed in a timely manner.
- Assisting employees in getting responses on questions regarding benefits, travel procedures, visit requests, Information Technology service, etc.
- Developing and codifying procedures for new employee onboarding, service requests, time charging guidance, etc.
- Work directly with the offsite Program Management Team to ensure program tasks align with organizational objectives.
- Provide administrative support, such as scheduling meetings, preparing materials, and organizing logistics for program activities.
- Support the San Bernardino team with contractual deliverables, both from ASRC to the Government customer and from stakeholders to ASRC.
- Monitor project timelines to help prevent manning resource allocation conflicts.
- Maintain program documentation, including program files, participant records, and program-related correspondence.
- Assist in budget development and monitoring, ensuring proper allocation of resources.
Requirements:
- Proven experience in team coordination, administration, or a related role.
- Proficiency in Microsoft Office Suite and project management software.
- Experience in data collection, analysis, and report writing.
- Knowledge of project management and/or engineering methodologies is a plus.
- Familiarity with productivity tools such as Jira, Confluence, and web application management desired.
Education/Experience:
- Bachelor of Science degree, preferably in an engineering science preferred.
- 10 years or more aerospace experience with launch program management experience required.
- Experience in the design or development of launch systems is highly desired but not required.
- Program management and/or project management experience is required.
- Familiarity with IV&V activities and responsibilities of integrated project teams desired.
- Must have experience working with the DoD.
- Active Secret Clearance is required; Top Secret is desired.
