Salary Range: $80-90k
Description: Contracts Administrator
Purpose: Contracts Administrator serves as the contract liaison with all customers to ensure retention and growth for current and future business and to assure clients receive exemplary customer service.
Duties and Responsibilities:
Customer Service:
Maintain strong customer relations with external customers, consistent with Swift's values, policies, and procedures.
Provide status on production progress and delivery schedules to customers.
Provide product shipment tracking information to customers.
Assist with resolving invoicing inquiries.
Coordinate on-site customer meetings.
Retrieve drawings, materials/process specifications, and any other documents needed by the Engineering and Quality Assurance departments for proposal efforts and contract performance efforts.
Contracts:
Contract representative on PO's, as assigned by the Director of Contracts.
Enter and update POs and communicate receipt of orders to Swift staff to initiate project kick-off.
Prepare contract change notices, monitor program performance, including the
reporting and status of PO and customer deliverables to all stalk holders of the project.
Process RFQs - Input and update RFQ information in SalesForce Log.
Maintain detailed and organized files.
Prepare and maintain customer-defined status update requirements.
Retrieve customer documents such as POs, Change Orders, Drawings, and Parts Lists through customer portals.
Support Business Development and Swift Operations in meetings to discuss project status, including disruptions, conflicts.
Submit customer deliverables
Maintaining internal company contractual records and databases (NDAs, etc.)
Qualifications:
4-Year College degree preferred; 3-5 years of experience in contract management.
Experience working in a collaborative environment; ability to work well under tight deadlines and effectively interact with a wide range of people.
Strong listening skills, with a high level of professionalism required.
Strong verbal communication skills are mandatory.
Excellent writing skills mandatory.
Experience working with prime aerospace companies is a plus.
2-5 years' experience in a technical and/or manufacturing work environment preferred.
Strong customer service background, with a focus on customer advocacy.
Advanced MS Excel skills with proficiency in Word, Outlook, and PowerPoint.
Demonstrated attention to detail and accuracy.
Candidates must be US Person for compliance with ITAR (International Traffic in Arms Regulations)
Working Conditions :
Office environment, indoors, & air-conditioned. Occasionally may be in an open shop environment. Occasional travel. Periodic weekend or evening work is expected.
